The full template also includes Position, Driver's License State, Personal Auto Insurer, Policy Number, Liability Limits, Last MVR Check Date, MVR Result, Vehicle Registration Expiration Date, and Notes — plus blank rows for your roster. There is deliberately no column for the full license number: a shared spreadsheet is the wrong place for it. Track the issuing state and expiry date instead.
What a Spreadsheet Can't Do
It won't email you before a license or COI date passes — someone has to remember to open it. It won't tell you a personal auto policy's limits are below your minimum. And everyone with the link can see everyone's data. It also does not pull DMV or MVR records, run driving-record checks, or confirm a certificate of insurance is genuine — you enter and update every field by hand. For the data-pull side, pair it with a screening vendor (SambaSafety, Foley, Checkr).
